Publishing and approval

What you need before an event goes live, how first-event review works, what each status means, and how to unpublish.

Publishing puts your event on What's On and opens ticket sales. Paid events need payout details. If you're a new host, your first paid event gets a quick check from our team before tickets go on sale — usually within one business day. You find out when you publish; nothing stops you building the event first.

Before you can publish#

  • Payout details — a paid event needs a bank account for ticket money. Free events don't.

    • Before you sign in, the last step asks for Account name, BSB and Account number. Without them you'll see Add your account name, a 6-digit BSB and account number to publish.

    • When signed in, choose a Settlement bank account on Review & publish. Publish event stays disabled until you do. See Payouts.

  • Valid tickets — every ticket type needs a name, and every general-admission pool needs a quantity above 0. See Ticket types and pricing.

  • The basics — event name, public description, start time, feature image and a venue.

How to publish#

  • New event, not signed in: on Review & publish, click Save & publish, confirm your email with the code we send, add your details, then click Publish "your event".

  • Signed in: on your event's Overview, click Publish event. This opens Review & publish: choose the settlement account, optionally set Tickets on sale from, and click Publish event.

Publishing checks every ticket type, makes the event public and creates its payout schedule. You'll see Published — tickets are on sale. — or, for a first paid event, Submitted — tickets go on sale once it's approved.

First-event review#

To keep customers safe, a new host's first paid event is reviewed by the ShowTix team before it goes public. The check happens however you publish — the event builder, Publish event on the console, or the mobile app.

Your eventWhat happens
Free (every ticket $0)Goes live straight away
Paid, and you're already an approved hostGoes live straight away
Paid, and it's your first oneHeld In review until our team approves it

While it's under review:

  • The event isn't public and tickets aren't on sale.

  • You can keep editing it.

  • We email you Event submitted — under review.

Approval is for you as a host, not just this event. Once one event is approved, your future paid events publish straight away.

Adding paid tickets to a live free event counts too: until you're approved, putting a paid ticket type on sale (or changing a free ticket to a price) sends the whole event back In review — it comes off sale until our team approves you. Tickets already issued stay valid.

If it's approved#

We email you Your event is live, with links to View your event and Open event console. Tickets go on sale immediately.

If it isn't approved#

We email you Update on your event, headed We couldn't publish your event, with the reason from our team. The event stays unpublished, and your Overview shows Not approved with the same reason.

To talk it through, just reply to that email — a real person reads every message.

What the statuses mean#

Your event's Overview shows one of these:

StatusMeaning
DraftNot published yet
In reviewYour first paid event, waiting for our team. Tickets go on sale once approved (usually within one business day). You can keep editing.
Not approvedReviewed and not approved; the reason is shown
On saleCustomers can find this event and buy tickets

Publish event isn't available while an event is under review or not approved.

After publishing#

  • Edit any time. Changes under Settings save as you go and appear on the live page.

  • Ticket types publish separately. New pools or ticket types you add later start as drafts — click Publish all tickets on the Tickets tab.

  • Timed releases follow each ticket type's Show to customers and Allow purchase settings.

Unpublishing#

To take an event off the public site, use either:

  • Overview → Unpublish, or

  • Settings → Unpublish event (in the danger zone)

The event page and ticket sales are removed straight away, and sold tickets stay valid. You can publish again at any time.

To hide an event from your active lists but keep its sales history, use Settings → Archive event. To call it off and refund customers, see Refunds and cancellations.
