Gigs overview

What the Gigs area is, who can see it, and how gigs, bookings, quotes, contacts and performers fit together.

On this page

Gigs is the private side of ShowTix: performances you book and run for a client — a wedding, a corporate function, a private party — where nobody buys a ticket. You book performers, quote the client, invoice them, and pay the performers, all from one place. Ticketed shows live under Events instead (see Create an event).

Who can see Gigs#

Gigs and three related areas are switched on per account. If you don't see them in the sidebar, they're turned off for you.

Sidebar itemURLWhat it's for
Gigs/gigsEach private gig: date, venue, client, fee, performers, invoicing
Booking Enquiries/bookingsIncoming enquiries and your booking pipeline
Quotes/quotesPriced proposals you share with clients
Contacts/contactsYour client contact book (synced to Xero if connected)
Acts/artistsYour act profiles — always visible

The four switchable areas (Gigs, Booking Enquiries, Quotes, Contacts) turn on and off together. New accounts start with them off — ShowTix opens on ticketed events by default. If you run private gigs, contact support@showtix.com.au and we'll switch them on for your organisation (or just for you).

How the setting is decided

Each area is resolved in order: a setting on your own account wins, then your organisation's setting, then the default (off). So a whole organisation can have Gigs on while one member has it off, or the reverse. If you open /gigs with Gigs off, you're sent back to your Dashboard.

How the pieces fit together#

  1. An enquiry arrives — log it under Booking Enquiries with the client's details. Every booking creates a gig in the Enquiry stage. See Booking Enquiries.

  2. You quote — create a quote from the booking or the gig, then share its link. The client can accept it online without an account. See Quotes.

  3. You confirm — move the gig to Hold or Booked. See Create a gig.

  4. You book performers — add each performer with their pay and invite them. They accept or decline from the email, no login needed, and ShowTix sends the reminders. See Adding performers and Reminder cadence.

  5. After the performance — mark it Complete, then Finalise: the client is invoiced, performer invoices are issued and a bank payment file is produced. See Finalising and invoices.

Words you'll see#

  • Gig — one private booking. URLs still use /gigs, e.g. /gigs/1234.

  • Act profile — a profile under Acts (/artists): the act you're selling, shown on quotes and public pages.

  • Performer on a gig — a person you've booked and will pay. Performer emails talk about the booking or the performance.

  • Client / billing contact — the person or business you invoice, from Contacts.

Who can open a gig#

You can open a gig if you organised it or you're a member of the organisation it was created under. Others get Gig not found. If you belong to more than one organisation, see Switching organisations.
