A quote is a priced proposal for one gig. You build it in ShowTix, share a link, and the client accepts it online — no account needed. Quotes live under Quotes (/quotes).
Create a quote#
Quotes are always attached to a gig or a booking, so you start from one of those:
on a booking, click Send a quote, or use the Quotes card (see Booking Enquiries)
on a gig, click Create quote in the Quotes card
The new quote opens ready to edit. It's numbered automatically (Quote #…) and filled in from your quote defaults:
the reference name, from the billing contact's name
your first performer profile as the Artist
a quote date of today, valid for 30 days
your default production price, terms, terms URL and "proposal includes" list
a travel price, worked out from the distance between your home address and the gig's location
You can't create a quote from the Quotes list itself.
Set your quote defaults#
Go to Settings → Quotes → Quote defaults:
| Field | Used for |
|---|---|
| Default production price | The production line on new quotes |
| Travel rate (per km) | Travel = distance × rate × 2 (a return trip) |
| Home address | Where travel distance is measured from |
| Terms URL | Link to your full terms |
| Default quote terms | Payment terms, cancellation policy, deposit requirements |
| Proposal includes | The checklist of what's included |
If ShowTix can't find the gig's location on a map, travel starts at $0 and you can type it in.
Edit a quote#
Everything saves as you type.
Details — Reference name, Artist (or No artist), Quote date, Valid until, and Performance description.
Pricing — the Performance fee (excluding GST), extra line items (Add a line item…), and Production (PA, lighting and equipment hire) and Travel. Production and travel only count when Charge for production and Charge for travel are on. Travel shows the distance in kilometres.
Proposal & terms — Proposal includes (type an item and press Enter), Terms and Terms URL.
Totals — Subtotal, GST (10%) and Total. GST is always added at 10% on top of the subtotal.
Click Preview to see exactly what the client will see.
Share it with the client#
Click Share, then Share & copy link.
The quote is marked Shared, stamped as sent today, and its link (
/quote/…) is copied to your clipboard.Paste the link into your own email or message to the client.
No email is sent for you
Sharing doesn't email the client. You send the link yourself. A Draft quote can't be accepted, so share it before you send the link. You can copy the link again any time from the Client link card.
When the client accepts#
The client opens the link, checks the details and clicks Accept quote — $X. They see Quote accepted and a note that you'll be in touch. You get an email titled "Quote … Accepted" and the quote's status changes to Accepted.
Only shared quotes can be accepted. If the client opens a draft or archived quote, they're told it isn't open for acceptance and to contact you.
Accepting a quote doesn't confirm the gig for you. Once the client says yes, move the gig to Hold or Booked — see Statuses.
Find, duplicate and archive quotes#
The Quotes list has filters for Active, Draft, Shared, Accepted and Archived. It shows each quote's Quote #, Reference, Contact, Total, Status and Sent date.
Duplicate creates a new draft on the same booking or gig, with all the pricing and terms copied across and "(copy)" added to the reference.
Archive moves a quote to the Archived filter. Restore brings it back.
