Booking Enquiries

Log client enquiries, move them from Enquiry to Hold to Booked, and mark them done — your booking pipeline.

Booking Enquiries (/bookings) is your pipeline of client enquiries. Each booking links a client from Contacts with a gig, starting in the Enquiry stage. From there you quote, pencil the date in, confirm it, then run it as a normal gig.

Log a new enquiry#

  1. Click New enquiry

Go to Booking Enquiries and click New enquiry.

  2. Who's it for?

Choose Pick existing contact and search your contacts, or New contact and enter a Contact name (required) and Email (optional). New contacts are created in Xero too, so New contact only works once Xero is connected — see Contacts.

  3. The enquiry

Add an Event summary (e.g. "Wedding reception — Smith & Jones"), Enquiry notes describing what the client asked for, when it Starts and Ends, and the Location. Click Create booking.

ShowTix creates the booking and a gig in Enquiry, with Production provided by set to Artist. You can change that on the booking.

Enquiries from a connected website form also land here automatically. Connecting a form isn't self-serve yet — contact support@showtix.com.au if you need one.

Work an enquiry#

Open a booking to see the client, the event details and a three-step tracker: Enquiry → Hold → Booked. A highlighted button suggests the next step:

StageSuggested next stepWhat it does
Enquiry, no quote yetSend a quoteCreates a quote from your defaults and opens it. See Quotes.
Enquiry, quotedMark as heldPencils the date in while the client decides
HoldConfirm bookingMoves the gig to Booked
Booked or laterOpen the gigTakes you to the gig to add performers and invoice. See Adding performers.

The booking page has three cards:

  • The enquiry — What they asked for

  • Event details — Starts, Ends, Summary, Location / venue, Guests (capacity), Status, and Production provided by (Client or Artist)

  • Contact — Name, Email, Phone and Company

Edits save as you go. Any quotes for the booking are listed in the Quotes card.

You can also set the stage straight from the Status field under Event details. Bookings and their gigs share one status, so a change here shows on the gig too.

Mark a booking as done#

When there's nothing left to do on an enquiry — it's booked and handed over, or the client went elsewhere — click Mark as done. Done is a to-do marker for your pipeline. It doesn't change the gig's status. Click Reopen to bring a booking back.

Find bookings#

The Booking Enquiries list has three filters: Open (not done — the default), Done and All. It shows the Contact, the Booking summary, the Event date, when it was Received, its Stage, and a Done toggle you can click without opening the booking.

Booking enquiries vs gigs#

Every booking has a gig behind it, but not every gig has a booking. Gigs you create directly from Gigs → New gig skip the enquiry stage and start as Booked. Use Booking Enquiries when you want to track an enquiry from first contact. Use Gigs for work that's already confirmed.
