Adding performers
Create performer profiles, add performers to an engagement with their pay, send invitations and track who has accepted.

There are two kinds of "performer" in ShowTix:
Performer profiles (under Performers, /artists) are the acts you sell — what a client sees on a quote or a public page.
Performers on an engagement are the people you book and pay for that date. Each one gets an invitation email and can accept or decline without an account.
Performer profiles#
Go to Performers and click New performer. Give it a name and an optional Booking email, then save. Open the profile to fill in:
Profile — Name, Booking email, Website and Bio
Social links
Images — Logo and Hero image
Host profile — read-only business name, ABN, GST status and settlement accounts, if you've set them up
A profile can be picked as the Artist profile on an engagement and as the Artist on a quote.
Delete a profile from its page. If quotes or performances use it, it's hidden but kept for your records. Otherwise it's deleted for good.
Add a performer to an engagement#
Open the engagement
Go to Engagements, open the engagement and find the Performers card.
Click Add performer
Search your performers by name, or type their exact email address. If they're new to ShowTix, click New performer and enter their first name, last name and email. You need an email to invite them. If that email already has an account, the existing account is used.
Set pay and type
Enter their Pay (AUD) and choose a Type: Performance or Rehearsal. Click Add performer.
You can change Pay later on the performer's row. The Performers card shows how many have confirmed and the Total performer pay. The header strip shows your Margin.
Invite them#
Each performer's row has an Invite button. Click it to email the invitation now. The row then shows Invited.
If you don't click Invite, ShowTix sends the invitation for you about 15 minutes after you add them (outside quiet hours). That gives you time to fix the pay or remove someone added by mistake. Two exceptions: performers added more than 72 hours ago are never auto-invited, and you're never invited to your own engagement.
What the performer sees and does is covered in Performer invitations. Reminders, nudges and confirmations are automatic — see Reminder cadence.
Track replies#
Each row shows a status badge:
| Badge | Meaning |
|---|---|
| Awaiting reply | Invited (or not yet invited), no answer yet |
| Accepted | They've confirmed |
| Declined | They can't make it. Any note they left is in the email you receive. |
When a performer accepts or declines, you get an email ("Jane Citizen accepted: …") with an Open the engagement button. Replying to that email goes straight to the performer.
Remove a performer#
Click the bin icon on their row, then Remove.
Removing doesn't notify the performer
Removing a performer deletes them from the engagement straight away. No release email or calendar cancellation is sent, even if they'd already accepted. Let them know yourself. Cancelling the whole engagement does notify everyone — see Statuses.
Getting paid#
Only performers who have Accepted and have pay above $0 are paid when you finalise. Before you can finalise, every performer on the engagement needs pay set — so remove anyone who declined. See Finalising and invoices.
